Context

Due to recent project wins and our continued growth in Ireland, SYSTRA are now seeking an experienced Project Administrator with a focus on Permit Coordination, to join our busy Site Services team in Dublin.

The Project Administrator will be responsible for providing business administration including site permit coordination, data management and services support at a site level to assist in the day-to-day functional activities carried out on the scheme on which they have been deployed, ensuring compliance with the client’s policies and procedures in relation to the delivery of the project. 

Missions/Main Duties

The Project Administrator (Permit Coordination) will assume responsibility for:

 

  • Providing business administration, permit coordination, data management and support services at a site level to assist in the day-to-day functional activities carried out on projects.
  • Ensure compliance with the client’s policies and procedures in relation to the delivery of the project.
  • Include the provision of support to the client's team with various services administration.
  • Provide general operational support in relation to site permit co-ordination and management

  • Oversee the permit to work process
  • Ensuring compliance with the Health, Safety and Environmental standards and site specific procedures
  • Review and issue permits
  • Keep a record of the permits

Profile/Skills

Experience:

  • Demonstrable experience in administration and ideally a proven track record of carrying out business administration on infrastructure projects or projects of a similar scale and complexity to SYSTRA's.
  • Ideally some permit coordination experience
  • Providing administrative support to management within fast paced and challenging environments.
  • Providing administrative support and organisation to senior leaders.
  • Delivery of work under time pressure and with conflicting priorities
  • Taking ownership of activities to drive desired outcomes.

 

Desirable Skills:

  • Proficient in the use of MS Office applications and other project tools and methodologies.
  • Excellent communication (both verbal and written) and interpersonal skills.
  • Ability to govern and drive outcomes to ensure high quality service delivery.
  • Ability to deal with and resolve unforeseen risks and issues.
  • Ability to step back from the detail and take a holistic overview.
  • Ability to prioritise effectively, meet deadlines and deliver consistent service.
  • High level of attention to detail.
  • Ability to manage client expectations and deliver within agreed parameters
  • Ability to work in a challenging environment both on their own initiative and as part of a team.

 

Formal Education Qualifications:

Ideally a bachelor’s degree in a relevant subject.
