Context

The Administrative Assistant provides high-level administrative support to the team, ensuring smooth and efficient office operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Missions/Main Duties

  • Assist in the development and maintenance of project schedules, plans, and reports.
  • Organize and facilitate project meetings, including preparing agendas, taking minutes, and distributing action items.
  • Maintain comprehensive, accurate, and up-to-date project documentation, files, and records.
  • Monitor project timelines, deliverables, and milestones, and update project tracking tools.
  • Coordinate communication between project stakeholders, internal teams, suppliers, and clients.
  • Support the preparation of presentations, status reports, and other project-related documents.
  • Assist with budgeting, invoicing, procurement, and financial tracking related to the project.
  • Help manage risks and issues by maintaining logs and following up on assigned actions.
  • Ensure adherence to project management processes, standards, and best practices.
  • Support the onboarding of new project team members or external partners when necessary.
  • Perform other administrative and coordination duties as required by the project team.

Profile/Skills

  • Bachelor’s degree/Diploma
  • Proven experience in an administrative or project support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (such as MS Project, Primavera, or equivalent).
  • Strong organizational and multitasking skills.
  • Outstanding verbal and written communication abilities.
  • High attention to detail and accuracy.
  • Ability to meet deadlines and work under pressure.
  • Team player with proactive, flexible, and problem-solving attitude
