Context

The Project Support Officer provides comprehensive administrative and project support within the Sydney office, reporting functionally to the Director, Rails Systems East Division and to relevant Project Managers. This role is responsible for assisting with project creation, bid preparations, tender responses, procurement, travel coordination, and document management. Key duties include formatting and quality assurance of project documents, maintaining compliance with SYSTRA's Quality Management System, and timely handling and distribution of both internal and external correspondence. The role also ensures accuracy and control in document management systems and supports effective project delivery through efficient reporting and administrative processes.

Missions/Main Duties

About the role

  • Provide administrative and project support for the Sydney office and assigned projects.
  • Assist with project creation, proposal development, and preparation of bids and tender responses.
  • Coordinate procurement of project materials and resources, ensuring timely delivery.
  • Arrange and book travel, flights, accommodation, and itinerary details for project teams.
  • Format project documents and presentations, ensuring consistency and professionalism.
  • Conduct quality assurance checks on all project outputs to maintain compliance standards.
  • Manage the distribution and transmittal of correspondence to both internal and external parties.
  • Support Project Managers with weekly and monthly reporting requirements.
  • Process documentation received from clients and vendors in accordance with procedures and timeframes.
  • Enter, update, and maintain project records and documents in the document management system.
  • Allocate and control document and drawing numbering, ensuring proper version control.
  • Validate and verify all documentation for correct numbering, revisions, status, format, title, and legibility.
  • Maintain accurate project registers and ensure they are always up to date.
  • Adhere to project management methodologies and quality management guidelines.

Profile/Skills

About you

  • Minimum of 5 years’ experience in a similar administration or project support role.
  • Solid understanding of project management methodologies (such as PMBOK or PRINCE2).
  • Experience working across multiple projects at once.
  • Experience working within ISO 9001-compliant organisations or with similar quality management systems.
  • Highly organised, dependable, and able to manage multiple tasks and priorities efficiently.
  • Strong verbal and written communication skills, comfortable liaising with stakeholders at all levels.
  • Excellent customer service skills with a proactive and positive approach.
  • Effective problem-solving abilities with strong attention to detail.
  • Proficient in Microsoft Word, Excel, PowerPoint, Visio, and Project.
  • Experience with document management systems and maintaining accurate electronic records.
  • Ability to work both independently and collaboratively as part of a project team.
