Context

We require a Document & Information Lead assist us in managing the lifecycle of technical documents like drawings, specifications, and reports by creating and maintaining a document control system, ensuring all documents are accurately filed, version-controlled, and accessible to relevant personnel

Missions/Main Duties

  • Document management: Implement and maintain document control procedures, manage electronic and physical filing systems, and oversee the storage, retrieval, and archiving of documents.
  • Quality assurance: Perform quality and compliance checks on engineering documents.
  • Workflow and distribution: Process, track, and distribute documents to appropriate parties. This includes creating transmittals, managing revisions, and ensuring that the correct versions are accessible to project teams.
  • System administration: Manage the document control system, including assigning document numbers, creating templates, and maintaining a list or register of all applicable documents.
  • Coordination and communication: Act as a central point of contact for document-related queries, coordinating with project teams, engineers, vendors, and clients to manage the flow of information.
  • Reporting: Prepare reports on document status, track key performance indicators (KPIs), and assist in preparing documentation for audits. 

Profile/Skills

  • Education: Diploma in Engineering/ Graduate with min. 2+ years of work experience. 
  • Technical proficiency: Experience with electronic document management systems (EDMS) and strong computer skills are essential. Knowledge of engineering documentation is a plus.
  • Organizational skills: Excellent attention to detail, the ability to work independently, and strong file management skills are crucial.
  • Communication: Strong written and verbal communication skills to interact effectively with various stakeholders.
  • Understanding of regulations: Familiarity with relevant industry standards, regulations, and quality control procedures is necessary.
